Patient Policies
At the five Central Florida locations of Pediatric Cardiology Consultants, we want to make all our heart care patients feel comfortable and have a complete understanding of their condition, including congenital and acquired cardiology abnormalities, treatments available, as well as all our patient policies. Many patients find the policies we list helpful to fully appreciate our dedication to compassionate care.

After Hours Help

Pediatric Cardiology Consultants’ business hours are from 9:00 am to 4:30 pm, Monday through Thursday. Fridays we are currently closed as we undergo renovations. We have an answering service that directs phone calls to our physicians after hours and on weekends. Our on-call physician will be notified of your call. Please limit these calls to urgent needs only. 

Appointments

To schedule an appointment at any of our five locations, please call 407.856.7226 or 800.289.3883. Alternatively, you can fill out the Request an Appointment form on this website.

The Pediatric Cardiology Consultants’ hours of operation are 9:00 am to 4:30 pm Monday thru Thursday. Please bring your current health insurance card, referral form if required, a list of any prescriptions you are currently taking or refills needed and a list of any questions you may have.

Every effort will be made to schedule your appointment in a timely fashion. We will also need to know if any other testing has been completed on your child because our physicians will want to review the results before the visit. To save time you may download our forms to fill out before your visit.

Please expect to be in our office one to two hours during your visit. Should you need to reschedule an appointment please call our office 48-hours in advance.

Billing and Financial Policy

If you have health insurance, we will file the claim and bill your provider. However, patients are responsible for any required co-payments or outstanding balances. Payments are expected at the time of visit. Pediatric Cardiology Consultants accepts cash, checks and major credits cards (Visa, MasterCard).

Cancellation Policy

Please call the main Pediatric Cardiology Consultants number at 800.289.3883, at least 48 hours in advance to cancel appointments. Failure to do so could inconvenience the Pediatric Cardiology Consultants medical team and our other young heart patients, therefore delaying our ability to deliver our special quality of care.

Emergencies and On Call

If you have an emergency, please call the office number (800.289.3883), which will be redirected to the answering service after hours. You can expect a call back within 30 minutes. If you cannot wait for a return call or have an emergency situation, please go to the nearest hospital emergency department.

Insurance

Pediatric Cardiology Consultants participates in a variety of insurance plans. Many insurance plans require pre-authorization from your primary care physician. It is the patient’s responsibility to obtain such authorization prior to the appointment visit. Failure to obtain an authorization may result in rescheduling your appointment or denial of claims. In the event we are not contracted with a specific plan or you are a self-pay patient, financial arrangements can be made with our Billing Manager.

Please bring a copy of your insurance card and state issued identification at the time of your appointment. We file claims with all primary insurance providers and Medicaid insurance.

Lab and Test Results

For the most part, diagnostic lab and test results will be discussed at a follow-up appointment Pediatric Cardiology Consultants. Upon completion of the specific test, further instructions will be given as to how and when the results will be made available.

Late Policy

We are committed to prompt service, and will work very hard, barring emergencies, to stay on time. We may ask you to reschedule if you arrive for your appointment more than 10 minutes after your scheduled appointment. Always arrive 30 minutes early for an appointment to complete any paperwork associated with your visit.

Physician and Specialist Referrals

In the event your insurance requires a referral or authorization from your primary physician; it is YOUR responsibility to make arrangements with that office to get the referral/authorization to Pediatric Cardiology Consultants prior to your appointment. Your appointment will be rescheduled if the appropriate referral/authorization is not received.

Prescription Refills

Pediatric Cardiology Consultants has established a prescription request line for your convenience. Please call 407.856.7226 and follow the designated prompts. Please notify our practice in advance when a prescription will need to be refilled. Allow 48 hours for a request to be processed. We will need the following information to process you request:

  • Child’s name
  • Date of birth
  • Weight
  • Medication (including dosage)
  • Pharmacy name, phone and fax number
  • Telephone number where you can be reached with any questions

Please be aware that preparing some liquid or compounded medicines may take an additional day or two. If you have any questions, please feel free to contact our practice for further assistance.

Privacy Practices and Communication

Please be advised that we cannot disclosure any medical information to a family member without written consent from the parents or legal guardian. However, other family members may accompany the parent/guardian and child while visiting the physician.

Records Release

Please complete the records release form (Health Information Disclosure Form) to obtain your medical records from your previous family physician and any specialists you may be consulting. Our Practice Privacy Policy is available at the office for your review.

We require our patients to sign a Patient Authorization Form for Use and Disclosure of Protected Health Information to obtain a copy of any medical records within our practice. Any questions that are medically related will be referred to one of our physicians.

Our medical record procedures follow the guidelines prescribed by the Health Insurance Portability and Accountability Act (HIPAA) of 1996. If you have any questions, please contact our Medical Records Coordinator or Privacy Officer at 407.856.7226.
